Proposals
The Proposals module allows you to create, manage, and track proposals for your customers. Proposals are essential for outlining the scope of work, pricing, and terms of service for potential projects or services. Use the Proposals module to manage proposal records for your customers.
Proposals Tracker View
Use the Proposal modules to edit and manage proposals for your customers. A simple workflow is to request proposals directly from enquiries. This will ensure any relevant information is automatically included in the proposal.
The search bar allows you to search for proposals by name, customer, status, or date. You can add proposals directly from this view however it is recommended to log a new proposal request from the Enquiries view if there is a relevant enquiry. This ensures all relevant information from the enquiry is included in the new proposal.
A configurable charts section provides data across proposals for a given period.
Proposal Detail View
The Proposal Detail View displays details of the proposal such as scope, commercial options, pricing information and any instructions for fulfilment. Toggle the Edit button to edit the proposal details.
The view includes an Actions card where you can Add Lines, Log Win or Loss, Add a Reminder or Add to Story.
Log Win or Loss
This action allows you to log the outcome of the proposal. You can log the proposal as won or lost and add any relevant notes. By logging a win you will recognise a customer order, pre-populating with the proposal details. By logging a loss you can add a reason for the loss and any notes.
Log Win (Add new customer order)
Log Win to record a successful proposal and create a new customer order. This will pre-populate the order with the proposal details.
- Click the Log Win / Loss button in the Actions card and select the Log Win tab in the pop-up.
- Complete the order detail fields, checking details pre-populated from the proposal.
Log Loss
Log Loss to record an unsuccessful proposal. This allows you to track the reasons for lost proposals and any notes.
- Click the Log Win / Loss button in the Actions card and select the Log Loss tab in the pop-up.
- Complete the fields to log the loss, including the reason for the loss and any notes.
Proposal Lines
Lines make up the entries on a customer proposal. Access the lines from the Proposal Lines card on the proposal view.
A line can be a product, service or other item that you are proposing to the customer. Each line can have a description, units of measure, quantity and price. If the units is set to 'Day' you can enter a start and end date for the line, this will calculate a billing period as the quantity. Line price can be set at the line level or be derived from item pricing.
A line is typically made up of multiple items. An item in this context is typically associated with a cost or billing category. Items have an item price, units of measure, quantity and calculated total price. The total price of all items on a line is the line total.
Customising Proposals
Users can customize the Proposals Module to better suit their business needs:
- Modify the fields displayed in the Proposal Tracker View, or add or remove fields or columns, change field types, and set mandatory fields by navigating to Settings > Modules > Configure Module View
- Adjust the reference lists for proposal types and statuses under Settings > Reference Lists. From here you can modify or add status options and determine which status options set the proposal record as active or inactive (archived).
- Configure the KPI section to display relevant metrics by navigating to Settings > Modules > Charts.
- Enable or disable specific KPI cards and modify the data points displayed.
